Job Summary

Working independently under minimal supervision, prepares and processes the bi-weekly or semi-monthly payroll. Reviews timecards and paychecks for accuracy; calculates various types of pay; handles general payroll problems or complaints; answers questions from employees regarding payroll matters.

Essential Functions

Must perform all duties and responsibilities in accordance with the hospital’s policies and procedures, including its Service Standards and its Code of Conduct.

  • Completes end-to-end processing of payroll for biweekly and semi-monthly payrolls

  • Executes time & attendance processing and interface with Payroll.

  • Reviews historical timecard edits and processes on-line corrections as necessary.

  • Verifies employee timesheet for accuracy and completeness

  • Calculates and integrates time off benefits with State Disability payments.

  • Processes all required actions resulting from personnel action forms, including  retroactive pay calculations, PTO (Paid Time Off) adjustments, overpayment calculations and recoveries, etc.

  • Prepares and processing manual checks as needed for PTO, terminations, corrections, or other special checks according to hospital policy and labor laws

  • Processes manual direct deposit setups if necessary, proactively follows-up on rejected or missing direct deposits.

  • Receives and preparing various earnings adjustments and deductions for employee's paychecks such as retroactive deductions.

  • Balances, loading import files, and reconciling payroll file from vendors to Payroll system prior to final confirmation of payroll. 

  • Reconciles source file to deductions from vendors, and preparing check requests each pay period

  • Responds to employee inquiries via phone/ASK Payroll Service Requests regarding pay, benefits, and taxes as they relate to their pay, how to enter time or time off, or directs employees to the proper resource

  • Researches outstanding checks for unclaimed property/payroll checks

  • Processes accurate and timely year-end reporting when necessary (W-2, W-2c, etc.).

  • Documents and updating payroll procedures and processing checklists

  • Interprets Wage Garnishments and calculate appropriate deductions to be withheld

  • Prepares W-2Cs for employees.

  • Posts processing report downloads and distribution to various partners

  • Performs both pre and post processing audits

Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

Education: Associates Degree in Accounting or Business Administration with a focus in Accounting

Experience: Five (5) years minimum experience of progressively responsible and directly related Payroll experience with end-to-end payroll administration for a minimum of 2700 employees, using ADP products (EV5 or Workforce Now).  Experience with unionized employees preferred.

Licensure/Certification: FPC required (active or inactive) (may be obtained within the first year of employment)

Knowledge, Skills, & Abilities

  • Proven knowledge of payroll concepts, practices, and procedures.

  • Understanding of flow of all transactions affecting payroll checks.

  • Understanding of all pretax deductions and tax treatment

  • Ability to reconcile gross to W-2.

  • Ability to maintain confidentiality with sensitive information.

  • Ability to plan, organize, prioritize, multi-task, and meet deadlines.

  • Ability to work effectively with individuals at all levels of the organization.

  • Intermediate excel skills.

  • Strong attention to detail.

  • Knowledge of federal and state tax withholding regulations.

  • Proven problem-solving skills.

  • Knowledge of Payroll terminology and methods.

Pay Range

Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.

Typically, new team members join at the minimum to mid salary range.

Minimum to Midpoint Range (1.0 FTE): $78,020.80 to $88,504.00
