The Payroll Supervisor is responsible for supervising the daily payroll workflow and processing activities in a multi-frequency, multi-pay group environment.  Ensures that payroll is processed timely and accurately within Federal and State Wage and Hour Regulations, and in accordance with LPCHS timelines. Provides guidance and direction to payroll staff in various areas of processing the organization's payroll. Responsible for ensuring timely responses to Payroll Inquiries and supporting Information Requests. Focuses on a reduction in output errors, providing premium customer service and continuous improvement, driving for a World Class Payroll organization. This role will supports the overall payroll process and review for continuous improvement. 

Essential Functions

Must perform all duties and responsibilities in accordance with the Service Standards of the Hospital(s).

  • Responsible for processing the organization's payroll and payroll taxes, ensures accurate and timely preparation. Maintains controls and audits to ensure that payrolls are calculated properly, and in compliance with the law. 

  • Supervises or compiles, and posts payroll data to payroll records. Supervises transfer of employee and employer retirement contributions after each payroll. And addresses queries related to the contribution.           

  • Supervises in reconciliation of all payroll deductions and benefits to the appropriate general ledger accounts. Investigates and resolves reconciling items in payroll liability accounts within General Ledger through close coordination with Payroll Accounting Support.

  • Prepares or supervises the preparation of W-2 forms, tax filings for federal withholdings, unemployment taxes, W-2, W-2C preparation, etc. Ensures compliance with regulatory requirements for items such as payroll taxes and tax filing, garnishments, 403(b) plans, taxation of company benefits, and wage and hour laws.

  • Reviews and processes on-demand and manual checks, ensuring compliance to state and federal laws and organization policies. Manages corrections to employee paychecks, programs, as directed by the Payroll Manager.  

  • Monitors the effectiveness of systems, policies and procedures and makes appropriate recommendations for process improvement and best practices; implements approved changes. Partners with internal stakeholders and makes recommendations for improvements in process and system. Stays informed of best practices regarding payroll processes and technology and makes improvements to ensure the highest possible efficiency and accuracy.  

  • Leads and supervises departmental audits to ensure the accuracy of reporting and compliance with organization policy and procedure issues related to pay, assuring compliance with the law and tax regulations. Ensures accurate year end payroll close.

  • Aids with all internal and external payroll related audit questions and escalations. Provides technical guidance on complex issues.              

  • Trains and supervises staff to handles Payroll queries. Tracks and ensures Payroll queries are addressed in a timely basis. Tracks and reports on key payroll metrics/performance indicators

  • Sets goals and objectives, and measures progress against expectations.         

  • Assigns, monitors and reviews the progress and accuracy of assigned work.  Exercises initiative and judgment in evaluating workflow to effectively distribute daily tasks to ensure timely processing. Ensures the consistent application of organization policies and ongoing compliance with internal controls.

  • Develops, coaches, and mentors team members with payroll process, system and query handling. Trains and supervises employees on the company’s timekeeping systems and policies, including sick and vacation tracking. Responsible for ensuring staff’s understanding and compliance.

  • Maintains excellent working relationships and communication with business partners and develop relationships with key stake holders that inspire confidence and cooperation. Provides excellent customer service to internal and external customers.  

  • Identifies, troubleshoots and resolves operational and system issues. Triages to appropriate vendors for assistance with resolution.

  • Performs supervisory functions by interviewing, selecting, and providing training for new staff; by approving or disapproving recommendations from subordinate staff on personnel actions; by evaluating subordinates’ performance; by hearing and resolving employee grievances; and by determining the need for and initiating disciplinary action in order to ensure adequate and competent staffing.

Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

Education: Bachelor's degree in Accounting, Finance or Business

Experience: Three (3) years of payroll processing experience using ADP Ev5 with Advanced Report Writing skills in ADPR and iReports in a mid to large size company to include supervisory experience reflecting increasing levels of responsibility.

License/Certification: Certified Payroll Professional (CPP) -OR- Fundamental Payroll Certification (FPC).

  • Ability to supervise, coach, mentor, train, and evaluate work results.
